Robot hire for parties: a venue and audience guide
Plan a robot appearance around the room, guests and format—from private homes and hotels to outdoor celebrations.

A robot can be a brilliant party focal point, but only when its format fits the room and the people in it. The useful first question is not “Which robot looks best?” It is “What should happen when the robot meets a guest?”
This guide helps you define that experience and check a venue before requesting quotes. It does not replace a supplier’s model-specific assessment or the venue’s own safety planning.
Pick one party moment to lead
Most successful briefs have a primary role and a fallback:
- a scheduled entrance and performance;
- a hosted photo and meet-and-greet zone;
- a moving character circulating with an operator;
- a compact humanoid or robot dog demonstration;
- a telepresence link for a guest who cannot attend;
- routed delivery of samples or favours on a suitable floor.
Trying to combine continuous roaming, unscripted conversation, tray service, dancing and photography in one machine usually creates an unclear brief. Choose the moment guests should remember. Secondary features can then be tested against the venue and schedule.

Match the format to the venue
Private home or garden
Homes often present the hardest access: steps, narrow doors, thick thresholds, rugs, tight turns and limited storage. Measure the route from the vehicle to the operating space, not just the room itself. Ask whether the unit travels upright, in cases or on a trolley, and where cases can remain.
Separate the robot zone from food preparation, open flames, pools, loose cables and pets. For a garden, do not assume an indoor robot can tolerate rain, damp ground, gravel, grass or direct heat. Request the model’s environmental limits and a weather fallback in writing.
A compact, closely supervised robot or an operated appearance may be easier to stage than a large autonomous platform. That is a venue judgement, not a comment on which robot is more advanced.
Hotel or function room
Hotels can offer level access and event power, but permission matters. Confirm the loading route, goods-lift dimensions, floor loading constraints if relevant, permitted setup hours and whether the activation affects fire routes or shared public spaces.
Ask the venue to identify its duty manager and the person who can approve the final location. The HSE’s event roles guidance emphasises clear responsibilities among organiser, venue and contractors. Put those names in the running order.
A stage-based social robot, performance character or controlled meet-and-greet can work well where the room has a defined focal point. Wheeled movement still needs a checked route and a plan for guests gathering around it.
Community hall
A hall may provide useful open space but fewer technical resources. Check socket locations, circuit arrangements with the venue, Wi-Fi coverage, backstage storage and whether another booking compresses load-in time. Inspect floor joints, ramps and door closers.
If the robot uses cloud speech, remote operation or video, test the connection in the intended position. A speed result at the entrance does not prove coverage in the function room. Agree a non-network fallback, such as a hosted photo session or locally controlled routine.
Restaurant or bar
Busy service routes, liquids, glassware, stools and low light can make general roaming inappropriate. Map where staff carry trays and where guests queue. Consider a fixed interaction point or scheduled entrance instead of allowing the robot to compete with service traffic.
Music also changes the experience. Ask whether speech recognition and speakers have been demonstrated at the expected sound level. If conversation is important, schedule it before the loudest part of the event or use a human host and explicit turn-taking.
Outdoor venue or marquee
“Under cover” does not answer wind, condensation, temperature, dust, uneven flooring or the route from transport. Confirm what the supplier permits for that exact robot and define the stop condition for deteriorating weather.
For a marquee, inspect ramps, flooring transitions, guy lines, cable routes and the stability of any stage. Build an indoor or static fallback that is still worth having; do not make the entire party depend on marginal conditions.
The HSE venue-design guidance recommends assessing circulation, access and infrastructure at an early stage. A marked-up plan is far more useful than “the venue is accessible.”
Plan for the audience you actually have
Children
Children may approach from behind, crouch near moving parts or try to touch controls. Ask the supplier what guest distance and supervision its operating method requires. Use a visible host or steward and short, clearly introduced sessions rather than assuming guests will understand the machine.
Do not advertise an interaction the supplier has not approved for that age group. If cameras or microphones are enabled, settle how the feature will be explained and managed before invitations or signage are produced.
Mixed-age family groups
Provide a way to watch without participating. Keep the queue away from exits and service routes. A host can invite one household or small group at a time, explain what will happen and prevent a crowd from compressing around the robot.
Adult celebrations
Allow for changing behaviour later in the evening. Alcohol, louder music and a denser dance floor can make an activation suitable at 7pm and unsuitable at midnight. Schedule the robot for the window in which it can be controlled, seen and heard properly, then close the experience cleanly.
Guests joining remotely
A telepresence robot can make participation more active than a laptop on a table, but it introduces accounts, cameras, microphones and connectivity. temi’s product information describes a mobile platform with a screen and audiovisual sensors; that does not remove the need to test the call platform, login, network and charging plan.
Agree who controls movement, who helps the remote guest and what happens if the call drops. Keep a conventional video-call device ready as the fallback.

HSE guidance says the depth of planning should be proportionate to the event. A family party does not need the paperwork of a festival, but the responsibilities, access route and stop plan should still be unambiguous.
Brief the experience honestly
Tell guests what the robot will actually do. “Meet a robot dog for a hosted demonstration” is clearer than promising an autonomous companion. “Join a remote guest through a mobile video robot” is clearer than implying the robot itself understands the room.
Ask the supplier for the exact model, configuration, control method and included staff. Manufacturer pages can be useful evidence, but they describe product capabilities rather than your specific live deployment. Unitree, for example, publishes different Go2 configurations, so a generic model name is insufficient.
Once the format is selected, use the robot event logistics checklist to plan delivery and show day. For relevant research, share the venue, guest profile, date and intended party moment. A future authorised supplier must confirm any suitable option, availability and hire scope.
